Setting Up and Using Multifactor Authentication

Telford College is making our access to college systems more secure by using Multifactor Authentication. You will get a notification from a member of the IT and Digital team about when you/your team will be onboarded to Multifactor Authentication. When it is your time to use Multifactor Authentication, please follow the steps below to complete your set-up.

1. Choose your methods of authentication

  • By using the Microsoft Authenticator mobile app – you will need to download the mobile app before you start the set-up, please visit the following Microsoft website for further information https://www.microsoft.com/en-us/account/authenticator
  • A text to your personal or college mobile – you don’t need to do anything before set-up, as long as you have your mobile number available during the set-up
  • If you do not have access to a mobile device, please raise a support request with IT Services.

2. Starting your set-up

  • Visit https://aka.ms/MFASetup
  • Click sign-in or select your college account (if your account is listed)
    • If signing in please enter your college email (e.g. for staff firstname.lastname@telfordcollege.ac.uk) then click next
    • Please then enter your college password
  • You will then be prompted with a screen which says ‘More information is required’, please check that at the top of the box it says your Telford College account, then click ‘next’
  • The next screen will be labelled as ‘Additional security verification’, please follow the following steps:
    • Under ‘Step 1: How should we contact you?’ please select
      • “Mobile App” if you want to only connect using the Authenticator app
      • “Text Message” if you want to enter your mobile number to receive an authenticating code
    • Then follow the instructions on screen:
      • this will be either through entering your mobile number and validating, or
      • by opening the Microsoft Authenticator app, and clicking add ‘work or school account’ and scanning the QR code using your devices camera – followed by checking the steps to establish that the app has been activated.
      • Followed by then working your way through the on-screen steps detailed.

3. Checking additional security information

  • As you work through the process, Microsoft might ask you for additional security verification information. This can be:
    • An additional contact number, or
      • an additional email address (this must not be your Telford College email address), or
      • some basic security questions
      • It will then ask you to validate the information provided.
  • Once this step has been completed, you will then be able to log in.

4. Using multifactor authentication

When signing into any website that requires a Microsoft sign-in you will be asked to enter your user name and password as usual. You will then be given a screen asking you to approve the sign-in request, which will either:

  • Push a notification to your authentication device (if using the app) which you will need to click to approve, or
  • A text will be sent to your mobile device and you will be asked to enter the code received.

Once approved/code entered, you will then continue your usual operation.

Please note you will see at least once a day, a pop up from MS Teams, OneDrive, Outlook – asking you to authenticate access to those systems also.

If you have any problems or questions please contact IT & Digital Helpdesk.
